Important Deadlines for Accepted Abstracts

  1. Deadline to confirm presentation of your abstract(s): Monday, May 8, 2017
  2. Early Registration Deadline: Friday, May 19, 2017
  3. Deadline for presenting author or title changes: Monday, May 29, 2017 (any changes after this date may not appear in the Online Abstract Book)
  4. Presenter Registration Deadline: Friday, May 19, 2017 Oral Presentation

Oral Presenters will be given the opportunity of a 15 minute Oral Presentation (13min + 2min questions and answer period) and are asked to prepare a PowerPoint presentation with a maximum of 10 slides for this presentation (not including title, author and disclosure slides).

Each presentations MUST include a disclosure slide.

Please proof-read the title of your abstract and the names of the authors. This is how your information will appear in the Online Abstract Book and on the Conference website prior to IAFS 2017. Please check the details carefully and contact iafs2017-speakers at icsevents.com if you are not the presenting author for the abstracts listed below or for any other correction.

Deadline for (presenting) author or title changes: Monday May 29, 2017

No changes will be accepted after this date.

General Information

  • All session room screens will be in 16:9 format
  • Please be in room for your session 15 minutes before the start time of the session. The Session Chairs will start and end strictly on time

Presentation Preparation

  • Your presentation must be prepared in PowerPoint2000 or any later PowerPoint Version (MS Windows) and provided on an USB-removable drive
  • Set the slide size of the page to “On-screen show” and landscape orientation in the page set-up section. (Portrait orientation will not be displayed properly)
  • Use high-contrast lettering, and not too much text per page (max. 10 lines or 15-20 words). Make sure you use high-contrast colors for the best definition of your text. Please be aware that red letters or lines are usually not visible
  • The inclusion of a disclosure slide is mandatory even if you have no conflicts to declare (this is not included in your 10 slide limit)
  • It is recommended to keep a copy of your presentation at the time of the presentation, should a problem occur. Furthermore, please have the presentation printed on paper, for reference during the lecture
  • Special characters: To avoid any compatibility problems, please do not use special characters (i.e. “, Ö, Ø, ñ, ?, ®, ý, }, { etc) to name your presentation or movie files

On-site Information

  • You are requested to check-in your presentation (on your USB-removable drive) at the Speaker Ready Room at least 12-24 hours prior to your scheduled presentation. If for any reason you are unable to meet this schedule, please inform the IAFS 2017 Program Manager at iafs2017-speakers at icsevents.com before the conference
  • Please note that technicians in the meeting rooms are not prepared to receive presentations directly from the speakers
  • Computers are available for you in the Speakers Ready Rooms for your final check
  • Once the presentation has been checked, the technical staff will be responsible for its delivery to the session rooms in preparation for your presentation
  • Macintosh presentations (i.e. Keynote) cannot be accommodated, unless saved to a PC-formatted USB stick

Poster Presentation Information

The maximum size of the poster is 3’ (w) x 4’ (h)

  • All Posters will be displayed for 1 day during the Conference
  • Poster Boards will be velcro and push pin compatible. Push pins will be provided
  • Keep illustrations and text simple, remember that one must be able to read it from a distance
  • Prepare your poster thoughtfully, remember that approximately 200 posters will be presented at the same time – make your poster interesting!
  • Poster Board numbers will be provided in a separate email in July – Management will identify each poster board with the poster number

Setup hours:

  • All posters must be set up on the day of your poster presentation by 09:00

Take down hours:

  • All posters must be taken down day of your poster presentation by 17:30 that day. Any posters not removed by 18:00 will be discarded by management.

CSFS & WPMO Poster Presentation Information

The Canadian Society of Forensic Science (CSFS) and World Police Medical Officers (WPMO) have their own dedicated Poster Area and Session.  

All Poster Presenters for both the CSFS and WPMO Poster Sessions are asked to follow these setup times:

  • All Posters must be setup at 9:00 on the day of their presentation
  • All Posters must be taken down by 17:30. Any remaining posters will be discarded by management at 18:00
  • All Posters will be displayed throughout the whole day in the Sheraton Hall B (Poster Area) and Poster Presenters are asked to be on stand by at their poster during the Coffee and Lunch Breaks
  • The CSFS dedicated (Oral Presentation) will be held between 13:45 – 17:30 on August 23, 2017.  Poster Presenters may want to be on stand by at their posters
  • The WPMO dedicated (Oral Presentations) will be held between 13:45 – 17:30 August 24, 2017.  Poster Presenters may want to be on stand by at their posters

Jerry Melbye Poster Presentation Information

Dr. Jerry Melbye passed away during the final week of abstract submissions for this conference. Jerry started the first Forensic Science B.Sc. Program in Canada at the University of Toronto at Mississauga (UTM) in 1995. At that time, there were only 15 universities world-wide offering a Bachelor of Science degree program in Forensic Sciences. He was Director of the program from 1995 to 2001, when he
retired. Jerry went on to create a body farm at the University of North Texas after his retirement. In honour of Jerry, we have pulled abstracts submitted to this conference by his colleagues, former students and students of his students. In addition, we honour him by including all of the abstracts submitted by the students graduating from the UTM Forensic Science program this year. The topics cover many areas in forensic science.

The Jerry Melbye Poster Session, held August 24, 2017, is a Special Poster Session dedicated to Dr. Jerry Melbye and will take place immediately after the Jerry Melby Oral Presentation (OA20), which is held from 16:00 – 17:30.  

All Poster Presenters are asked to follow these setup rules:

  • The Jerry Melbye Posters will only be displayed between 17:30 – 18:00
  • All Posters to be setup at 17:30 on August 27, 2017
  • All Posters to be taken down by 18:00.  Any posters remaining will be discarded by management

Poster Printing Service

The Conference is pleased to offer a Poster Printing Service to all Poster Presenters.

This will allow you to have your poster printed and just pick it up at the Registration Desk during the following hours.

Poster Printing Guidelines

It is important to set up your slide to a size that is proportional to the printed size of the poster. In PowerPoint, go to Page Setup and select Custom. Fill in the proper width and height.

The following printed poster sizes are available:

24 inches (w) x 24 inches (h) – square
36 inches (w) x 36 inches (h) – square
36 inches (w) x 48 inches (h) – portrait

Maximum poster size: each poster can be a maximum size of 3′ (w) by 4′ (h) or 36″ (w) by 48″ (h).

One slide only please! – Your Poster will be created from a single PowerPoint slide. Please submit only one slide per poster.

Fonts – Choose two fonts at most, nothing cursive. Stick to sans-serif fonts for legibility: Arial and Helvetica are recommended. If you wish to use a serif font, we recommend Times New Roman (Windows) or Times (Macintosh).

Excel Charts – You can paste Excel charts into PowerPoint: from Excel, select your chart and Copy, then in PowerPoint, Paste the chart where you want it to appear. For detailed instructions, please click here.

Word Text – insert a text box into your PowerPoint slides, copy the text from your Word document and paste it into the textbox in your slide.

Image Files – To add image file, select “Insert”>”Picture”. Images should be good quality and appear clear and sharp on your screen. Since they will be enlarged for printing, we recommend that images are set to a resolution of 300 dpi.

Backgrounds – For legibility and viewing ease, we suggest that you keep your backgrounds simple and avoid using dark colors.
